Forge Athletic Systems ("Forge," "we," "us") builds software that helps wrestling coaches run their programs. This policy explains what we collect, how we use it, and the choices you have. We wrote it in plain language on purpose.
About student-athlete data. Coaches use Forge to manage rosters, which can include information about minors (student-athletes) such as names, grade, weight class, and win/loss records. We treat this data as sensitive. We do not sell it, we do not use it for advertising, and we only process it to provide the coaching tools the coach uses. See "Student-athlete data" below.
We do not sell your data, and we do not use student-athlete data for advertising or share it with advertisers.
Roster information about minors is entered by the coach and belongs to the coach's program. Forge acts as a processor of that data on the coach's behalf. We recommend coaches follow their school's and state association's policies regarding student data, and share only what is needed to run the team. A coach can delete any athlete or their entire roster at any time, which removes that data from our systems.
Two features in Forge send text to an AI model operated by Anthropic.
Season and practice generation. When a coach asks Forge to build a season, we send the coach's own setup answers: the sport, the competitive level and division, the season dates, the number of practices per week and their length, the coach's own technique list, and the team name. No roster is sent. No athlete name, weight, record, or any other athlete field is read from our database or included.
Scouting text parsing. When a coach pastes text about an upcoming opponent, that text is sent for parsing, capped at 24,000 characters. It is whatever the coach pasted, and it may contain opponent names, because that is the point of the feature. Nothing is read from our database and added to it.
No student-athlete data is used to train any AI model, by us or by Anthropic. Forge uses Anthropic's commercial API, whose terms state that Anthropic may not train models on customer content. Anthropic retains API traffic for a limited period for abuse monitoring; Forge has not arranged zero-retention processing, which matters less here because no athlete record is in those requests in the first place.
A coach who would rather no text left Forge at all can simply not use these two features. The rest of the product does not call an AI model.
When a school or district uses Forge, the school is the data controller and Forge is a service provider acting on its instructions. Roster information belongs to the school's program, not to us.
FERPA. Forge holds no grades, transcripts, disciplinary records, attendance against coursework, health records, or any other education record. We hold athletic participation information a coach enters to run a team. Where a school considers any of it an education record, Forge operates as a "school official" with a legitimate educational interest under 34 CFR 99.31(a)(1), uses the data only for the purposes the school directs, and does not redisclose it.
State student privacy laws. Forge's practices are intended to meet the operator obligations in laws including California SOPIPA, New York Education Law 2-d, Illinois SOPPA, and comparable state statutes: we do not sell student information, we do not use it for targeted advertising, we do not build advertising profiles, we delete it on the school's request, and we maintain reasonable security.
We will sign your agreement. If your district or institution has its own data privacy agreement, including a New York Parents' Bill of Rights or an Illinois SOPPA addendum, send it to aaron@forgeathleticsystems.com. We would rather sign yours than ask you to accept ours.
Your data is stored with our infrastructure provider (Supabase, on managed cloud infrastructure) and protected by database-level access rules so that each coach can only access their own team's data. Payments are processed by Stripe. Login uses secure, passwordless email links, we don't store passwords. We take reasonable measures to protect your information, though no online service can guarantee absolute security.
We use essential cookies and local storage to keep you logged in and to make the app work offline. Third-party analytics run on the public marketing website only, never on a signed-in page. Our own usage log in the coach application is described under "Usage information" above. We do not use advertising trackers anywhere.
Program data is kept for as long as the account is active, because a coach's history across seasons is most of the product's value. There is no automatic expiry. On written request we export a program's full data set and then delete it, including stored video, normally within 30 days. Operational backups roll off on their own within 28 days of deletion. We keep limited billing records longer where law requires it. The coach usage log described above is kept for about 13 months and then deleted, because its only purpose is comparing one season to the next.
We may update this policy as the product evolves. We'll post the new version here and update the effective date. Significant changes will be communicated by email.
